Before the meeting
A good host makes the starting point obvious, checks the public venue’s practical details, and explains the expected cost and finish time. Any accessibility needs should be discussed privately and only as far as the person wants to share.
During the first hello
Use names. Give everyone time to arrive. Explain one simple activity and offer an easy question about the city. Avoid forced confession, competitive introductions, or making someone perform confidence.
At the end
Leave room for an honest “that was nice” without demanding a lifelong commitment. Ask whether people want to discuss another outing and get permission before sharing anyone’s contact details.
What expressing interest means
Host applications are expressions of interest, not job offers or volunteer appointments. Any future role, training, responsibilities, payment or expenses would be discussed separately before you accept.
